Tone of voice

Tone of voice is the personality of a brand in language: how it greets people, explains a price, or apologizes when something breaks. Same facts, different feel — formal vs. warm, playful vs. straight.

It sits inside branding and should show up in copywriting, UX writing, and a content strategy so the site, ads, and support chat don’t sound like three companies. A written voice guide (who we are, words we use, words we skip) keeps contractors and AI drafts from drifting.

A real-life example of tone of voice

Two Atlanta clinics send appointment reminders. One: “Your visit is scheduled for Thursday at 10:00. Reply C to confirm.” The other: “See you Thursday at 10 — bring your insurance card and we’ll take it from there.” Same job; different voice. Customers remember the one that matches the waiting-room experience.
