We’ve all played around with ChatGPT, Gemini, or Claude. You ask for a recipe—it gives you one. You ask for a poem—it writes it. But when you ask: “How much does maintenance cost in my company?”, the AI has no idea. Or worse: it makes up a price (hallucinates) because it feels like it has to answer something.

That’s why when a business owner considers integrating AI, the first reaction is hesitation: “I can’t let AI talk to customers if it might say anything about my business.”

And they’re absolutely right. That’s why in professional environments, we don’t use “raw” AI. We use a technique called RAG.

What is RAG in AI and how does it work?

Retrieval-Augmented Generation (RAG) is a technique that allows AI to use your business data—like documents, pricing, and FAQs—before generating a response. Instead of guessing, the AI searches your information in real time and answers based only on that data, making responses accurate and reliable.

The problem: AI is a well-read student

Think of AI as a brilliant student who has read the entire internet.

  • It knows history, math, and programming.
  • But it has NOT read your employee handbook or your updated pricing list from yesterday.

If you test it on your business, it will try to guess rather than leave the answer blank. That’s risky.

The solution: an open-book test (RAG)

Technically, this is called Retrieval-Augmented Generation (RAG). In simple terms, it means giving AI permission to check your documents before answering.

A basic workflow looks like this:

  1. You upload your data: PDFs, pricing spreadsheets, service manuals, FAQs—everything goes into a structured database.
  2. The customer asks: “Do you offer refunds?”
  3. The retrieval step: the system searches YOUR documents for “refund policy.”
  4. The response: the AI is instructed: “Use THIS information. Don’t invent anything.”

Result: The AI answers with your exact policy, using your wording, and with the tone of a human assistant.
